These Terms of Service (the Terms) govern access to and use of the CandidAI website, dashboard, desktop software, email-generation and email-delivery features (together, the Service). Please read them before creating an account or making a purchase.

Email is the designated channel for support, complaints, withdrawal requests and other legal communications.
The Service is offered primarily to individual users located in the European Union. You may use it if you are at least 18 years old. Users aged 16 or 17 may use it only with the permission and supervision of a parent or legal guardian, who accepts these Terms on their behalf. The Service is not intended for children under 16.
If you use the Service for a business or organisation, you confirm that you have authority to bind it. Mandatory consumer protections remain unaffected where you qualify as a consumer.
CandidAI uses information supplied by you, including your CV, professional background, preferences and target roles, to research potential employers and publicly available professional information, identify potentially relevant recruiters, and generate personalised recruiter-outreach email drafts. The Service may also generate follow-ups, company research and related recommendations depending on the purchased plan.
You can review and edit each draft and either open it in your own email client or authorise a campaign to be sent through the CandidAI desktop software. Automated sending is optional and requires a separate connection to a supported email provider.
Processing starts when CandidAI begins acting on the information you submitted. Results are normally generated within a few minutes per email, but processing may take up to 24 hours during peak periods. These times are estimates, not guaranteed deadlines.
AI-generated content and information obtained from public sources or authorised data providers may be inaccurate, incomplete, outdated or unsuitable for your circumstances. A recruiter email described as verified has undergone the validation process used by CandidAI or its data provider, but deliverability and continued accuracy cannot be guaranteed.
You must review names, addresses, claims, tone, attachments and all other content before sending. CandidAI does not provide employment, legal or professional advice and does not guarantee responses, interviews, employment, deliverability or any particular outcome.
You must provide accurate information, keep your credentials secure and promptly notify us of suspected unauthorised access. Accounts and purchased entitlements are personal. You may not share, sell, transfer or make an account available to another person, or create multiple accounts to evade limits or promotional conditions.
You remain responsible for activity carried out through your account unless it results from circumstances attributable to CandidAI.
CandidAI currently offers one-time purchases rather than recurring subscriptions. The price, included features, company limit and credits shown at checkout form part of your order. Prices displayed to consumers include applicable VAT unless expressly stated otherwise. Invoices are available on request made within seven days of purchase.
Purchasing a new plan replaces the previous plan and its company allowance. Unused credits are added to credits received with the new purchase rather than replaced.
Purchased and included credits:
Credits already used are not refundable as unused credits, without limiting statutory remedies or the refund provisions below. Promotional credits and bonuses have no refundable monetary value. Promotions and discount codes may have separate eligibility, expiry and usage conditions disclosed with the offer.
Payments are processed by Stripe and any other payment method displayed at checkout. The total price is shown before you place the order. You authorise the payment provider to charge the selected method. We do not store full payment-card details.
If a payment is reversed, charged back, fraudulent or not completed, we may withhold or suspend the corresponding plan, credits and processing while the matter is investigated.
Where required at checkout, you expressly request that CandidAI begin providing the digital service immediately, before the end of any statutory withdrawal period, and acknowledge the legally applicable consequences once performance begins or is completed. Your mandatory withdrawal rights depend on the nature and stage of the service and are not replaced by this section.
In addition to mandatory rights, CandidAI offers consumers a commercial seven-day satisfaction guarantee on their first paid purchase. You may request it by emailing hello@candidai.tech within seven calendar days of purchase, including the account email and order details. It may be requested even after emails have been generated.
The refundable amount is the price paid minus reasonable technical costs actually incurred in providing the Service up to the request. Those costs will be documented case by case and explained with the refund calculation. Used credits, completed processing and non-recoverable third-party processing may be considered; promotional value is excluded. A partial refund will never exceed the amount paid.
The commercial guarantee may be refused in cases of fraud, abusive requests, multiple accounts, account sharing, prohibited use or a material breach of these Terms. This does not restrict remedies that cannot legally be excluded.
Approved refunds are processed within 14 days. We normally use the original payment method through Stripe; bank transfer may be used where agreed or where refunding the original method is not reasonably possible.
If a paid operation fails or the Service is not supplied as agreed, contact us promptly. Depending on the issue, we will first offer a free regeneration or correction, then restore the affected credits, and where those remedies are impossible, unsuccessful or legally insufficient, provide an appropriate price reduction or refund. Mandatory rights relating to the conformity of digital services remain unaffected.
The desktop software can send an individually selected message or a user-authorised campaign through Gmail or Outlook. CandidAI may also support delivery from a custom domain through a user-provided Resend account. Additional providers, including Yahoo, may be introduced in the future and are not promised until shown as available in the Service.
For Gmail and Outlook, connecting an account creates an authenticated browser session and transfers encrypted session credentials to CandidAI's infrastructure in Germany. Although those credentials may technically permit broader mailbox access, CandidAI is authorised to use them only to send the messages included in campaigns you approve and to operate essential connection functions. CandidAI does not use them to read or analyse your inbox.
For custom-domain delivery, you provide a Resend API key with sending access and related sender information. You are responsible for configuring the key with the minimum permissions required and for complying with Resend's terms.
Provider credentials are retained for no more than three months from connection, unless deleted earlier when you disconnect the provider, delete your account or revoke access. You can stop an active campaign and disconnect a provider. Stopping a campaign may not recall a message already handed to the provider or sent.
CandidAI may pause or stop sending where it detects unusual activity, excessive failures, spam indicators, complaints, provider restrictions or a risk to users, recipients or the Service. CandidAI does not impose a separate daily sending limit, but limits applied by the provider and proportionate anti-abuse controls continue to apply.
You decide whom to contact and are responsible for ensuring that each communication has a lawful basis and complies with applicable privacy, electronic-communications, anti-spam, employment and discrimination laws. You must respect objections, opt-outs and reasonable contact frequency.
You must not use the Service to:
We may apply reasonable frequency controls, including controls concerning repeated contact with the same recipient, even where no fixed numerical limit is displayed.
You retain ownership of your CV, instructions and other content you submit. You grant CandidAI a limited, non-exclusive licence to host, process, reproduce and transform that content only as necessary to provide, secure and support the Service, comply with law, and create genuinely anonymised operational analytics.
As between you and CandidAI, you own the email drafts and other output generated specifically for you, to the extent ownership can legally arise. You may edit and use that output, including professionally or commercially. Output is not guaranteed to be unique, and similar output may be generated for others.
You confirm that you have the rights and permissions necessary to submit your content. Personal content will not be used to train general-purpose models without separate consent. Genuinely anonymised information may be used to analyse and improve the product. You grant CandidAI a perpetual, worldwide and royalty-free right to use voluntary feedback and suggestions without identifying you.
CandidAI and its licensors retain all rights in the software, interface, workflows, branding, website content, documentation and Ambassador materials, excluding your content and generated output as described above. No right to use CandidAI trademarks or distribute proprietary materials is granted unless expressly stated.
The Service relies on third parties including payment, hosting, authentication, analytics, data, AI and email-delivery providers. Their own terms may apply when you interact with them or connect an account. We remain responsible for obligations that cannot lawfully be delegated or excluded.
We work to keep the Service available but do not promise uninterrupted or error-free operation. Maintenance, security incidents, provider outages and events outside reasonable control may cause interruptions.
We may change features and prices for future purchases. A completed purchase will not be retroactively repriced or materially reduced. Free, beta or experimental functionality may be modified or discontinued. We will provide at least 15 days' notice of material changes to these Terms unless an earlier change is required for security, law or prevention of abuse.
If CandidAI permanently closes the paid Service, consumers will receive a proportionate refund for purchased, unexpired credits that can no longer be used, excluding promotional credits.
We may restrict or suspend access for suspected fraud, chargebacks, spam, harassment, account sharing, security threats, unlawful activity or another material breach. Whether advance warning is appropriate depends on the seriousness and urgency of the circumstances. You may contest a decision by emailing hello@candidai.tech.
You may request account deletion by email. Deletion is immediate and cannot be reversed. Before requesting it, you may ask for or use available tools to export your generated emails and results. Unused credits and access to results are lost on deletion, without affecting refunds or remedies required by law.
We may retain the minimum records required by tax, accounting, payment, fraud-prevention and dispute-resolution law. Other information is deleted or irreversibly anonymised; anonymised analytics may be retained because they can no longer be linked to you.
Nothing in these Terms excludes liability or consumer rights that cannot legally be excluded, including liability for fraud, wilful misconduct, gross negligence, death or personal injury where applicable.
To the extent permitted by law, CandidAI is not responsible for indirect or unforeseeable losses, lost employment opportunities, recruiter decisions, provider actions, or consequences of content sent without appropriate review. For claims that may lawfully be limited, CandidAI's aggregate liability is limited to the amount paid for the individual purchase giving rise to the claim.
These Terms are governed by Italian law. If you are a consumer, this choice does not deprive you of mandatory protections or the competent consumer forum available under the law of your habitual residence.
Please first send complaints to hello@candidai.tech. We will try to resolve them fairly without restricting your right to seek a competent court or use an available statutory dispute-resolution procedure.
The Ambassador Programme is governed by separate terms provided to accepted ambassadors. Participation does not create employment, agency or authority to bind CandidAI. Commission eligibility, attribution, fraud controls, returns, taxation, brand use, payout methods and termination are governed by those separate terms.
If a provision is unenforceable, the remaining provisions continue to apply and the affected provision will operate to the maximum lawful extent. Failure to enforce a provision is not a waiver. You may not transfer your agreement or account without our consent; we may transfer the agreement as part of a legitimate business reorganisation or transfer, without reducing consumer protections.
These Terms, the order information shown at checkout, the Privacy Policy and any specifically applicable written terms form the agreement concerning the Service. The English version is the only contractual version currently offered.
